EXECUTIVE DIRECTOR
SALARY: Depending on Experience
The Executive Director oversees all functions of Mentoring Partnership for Youth Development (MPYD), a nonprofit entity. Under the direction of the MPYD Board, the Executive Director facilitates the coordination of MPYD programs as defined by the Board. The position is full time, operating 12 months per year (including when school is not in session).
The incumbent is expected to exercise independent judgment, wisdom, common sense, and initiative in establishing efficient and effective operations consistent with Board policies.
Essential Duties and Responsibilities
- Direct the operation of MPYD so as to achieve the avowed purpose and objectives of the organization in accordance with its Constitution and Bylaws and policies established by the Board of Directors.
- Understand and communicate graphically and verbally to funders, potential funders, media interests, potential mentors, eligible mentees, and interested community agencies the purpose, goals, operational methods, and accomplishments of MPYD.
- Serve as MPYD representative in all contacts with the public and with any and all funding agencies.
- Ensure compliance with procedural demands and reports required by funding agencies whether Federal, County, City, School Board, or private agencies.
- Communicate frequently with John Muir High School’s Principal to ensure conformity with existing policies and procedures and that MPYD supports ongoing school efforts and emphases and with Pasadena Unified School District (PUSD) Superintendent and staff as needed for their support.
- Train, assign, supervise, and evaluate coordinators and Student Advisor (s) who assist with the day-to-day operation of established MPYD programs.
- Supervise the office staff and ensure that hard copies as well as electronic files with backups are maintained of all contracts, reports, and fiscal documents as well as internally-generated correspondence, graphics, and promotional materials.
- Supervise and maintain awareness of fiscal demands, sources, and expenditures, ensuring that all expenditures are approved, recorded, and allocated to appropriate categories and all incomes are recorded by source, amount, and purpose for future communication with individual entities.
- Recruit, qualify, and provide continuing in-service training, support, and encouragement for sufficient mentors to meet the need for one-on-one mentoring of assigned mentees.
- Ensure that mentee assignments to mentors are accomplished with parental approval expeditiously and according to mentor-mentee capabilities and mutual interests.
- Encourage and facilitate mentors meeting and maintaining contact with their mentee’s teachers and counselors as well as their parents or guardians.
- Keep mentors informed of assigned mentees’ grades at each grading period to stay abreast of progress and needs.
- Ensure the continuation and effectiveness of current annual events (Fundraising Luncheon, Oakbridge Camp, Family Picnic, College Campus and Industrial Site Visitation, Ethnic Parades), monthly events (Pancake breakfast, Rounddtable Discussion, Mentor training), as well as daily activities (Lunch With the Future, Job Training and Development, Tutoring, One-on-One mentoring) and occasional events such as hikes, sports outings, and other events to facilitate mentor-mentee interaction. Transports youth in personal vehicle to events.
- Provide a comprehensive written report to the Board of Directors monthly at a minimum and more frequently by e-mail as needed -- for each operating program activity, summarizing needs, accomplishment, and recommendations.
- Develop additional programs and commensurate funding sources as needed to broaden the base of support for MPYD and enhance its viability and effectiveness.
- Coordinate ongoing training programs; administer the school’s safety and emergency evacuation program; and assist in development and implementation of goals, objectives, policies and procedures for the programs.
Education/ Experience
Four years of increasingly responsible management experience with a private/public organization with grant funded programs or a master’s degree in a directly related field; background in youth development, public education, and after school programming; and a track record of reporting to a Board of Directors and working with volunteers.
Knowledge skills and abilities
Thorough knowledge of effective employee supervision, including selection, training evaluation, and discipline; budget management and supervision. Ability to coordinate the planning and administration of the youth programs; prepare and present written oral reports; maintain an effective working relationship with staff and the public; provides good customer service to those using the facility with consideration to legal and safety issues; organize and prioritize work using effective time management skills; ability to plan, supervise and evaluate the work of others; exercise sound judgment and discretion in problem situations. Must have an understanding of nonprofit accounting, reporting and accountability, and must be able to work effectively within a team structure that focuses on cooperation and creativity. Experience in working and interacting comfortably with youth is required. Proficient in Word, Excel and e-mail is a must. Must be able to work some evenings and weekends. The Executive Director must be able to frequently stoop, kneel, crouch, walk, and climb stairs, and periodically lift and carry items weighing 5 to 25 pounds.
Special Requirements
Possession of a California Class C Drivers License and satisfactory driving record (with updated liability insurance), and must be able to travel as necessary.
